Holdisholdis

For building managers

Every firm’s acts in one place, at each system.

Many maintenance firms work in your buildings, and each one sends its acts its own way. Holdis ties every system to a sticker and keeps its service diary in a shared centre, not inside one firm.

Pilot: the firm app is in use; the manager and owner side is built and being trialled with selected clients.

01How it works today

  • 01One building is typically served by around ten firms: fire alarm, access control, ventilation, lifts and more.
  • 02Each firm sends acts its own way. You collect them and forward them to the owner.
  • 03When the owner asks when a system was last serviced, the search starts in your inbox.
  • 04When the maintenance firm changes, the system’s history often stays with the old firm.

03How it works from your side

  1. 1

    You ask the owner’s consent

The owner consents either to all systems of the building, which also covers systems added later, or to a listed set.

  2. 2

    Systems get a sticker

Every system in the building gets a sticker with a short code. The system’s service diary lives in a shared centre.

  3. 3

    Firms add their acts

The maintenance firm adds the act to the system’s diary. A firm that does not use Holdis can attach a photo of the act at the sticker.

  4. 4

    You decide

Pending items reach you in Minu Holdis and by e-mail. You decide there or through the link.

  5. 5

    The owner sees the same

The owner has its own view of the same documents. Forwarding acts is no longer your job.

04Who sees what

  • Anyone who scans the sticker sees the system’s service history card. Act documents are never public.
  • The firm answers to the manager, the manager to the owner. The owner is the root of the chain of trust.
  • The owner decides which firm answers for which system. A firm’s claim on a system is confirmed by the owner side.
  • New representatives of an owner prove themselves with electronic ID, Smart-ID first.
  • Nobody deletes documents. Each side can only hide them in its own view.
  • When the firm changes, the system’s history travels with the system.

05Questions

01Do I have to buy Holdis to see my buildings’ documents?

No. Minu Holdis is free: proving your right, deciding, downloading documents and asking firms. The paid part is your own workspace, which is planned and not sold yet.

02Do my maintenance firms have to use Holdis?

No. A firm that does not use Holdis can attach a photo of the act at the sticker. The act still reaches the system’s diary.

03What happens when a maintenance firm changes?

The system’s history does not stay with the old firm. It travels with the system, and the new firm continues the same diary once the owner side has confirmed the change.

04Where does my right to see a building’s documents come from?

From the owner. You ask the owner’s consent for all systems of the building or for a listed set. Without consent you do not see the building’s documents.

05Does Holdis handle invoices?

No. Invoices are not part of the offer. An act may carry a mark such as “invoice received”, but Holdis does not process invoices.

06What does the paid workspace cost?

There is no price yet, because the workspace is not sold yet.
